From PBX to Cloud: Migrating Without Downtime Risk

Replacing a classic PBX with a cloud or Unified Communications solution affects nearly every workstation in the company at once. The perceived risk is correspondingly high – and a structured approach is correspondingly important.

1. Plan number porting early

Porting existing phone numbers to a new provider or into a cloud telephony environment is often the most time-critical step in the entire project. Porting deadlines vary considerably depending on the provider and number block. This step should be scheduled first – not last.

2. Parallel operation instead of a big-bang cutover

Switching the entire company over on a single date unnecessarily increases risk. A staged approach has proven effective: start with a pilot group of manageable size, then expand to further departments or sites. This surfaces configuration errors or acceptance issues early, before they affect the whole company.

3. Don't forget gateways and Session Border Controllers

Especially in hybrid scenarios – partly cloud, partly on-premises components – the clean configuration of gateways and Session Border Controllers is critical for call quality and reachability. These components are often underestimated in project planning, even though they are the most common source of operational issues.

4. Employee training as a success factor

Even the cleanest technical migration is of little use if employees don't adopt the new solution. Short, role-specific training sessions (e.g. for reception, sales, remote workers) significantly reduce support inquiries and speed up day-to-day adoption.

Conclusion

A UCC migration is primarily a project management challenge, not just a technical one. Anyone who plans for number porting, rollout sequencing, gateway configuration and employee training from the start significantly reduces downtime risk.
